Metadata Import Sheet

An alternative to logging in Cliplog would be to log your footage using our custom Metadata Import Spreadsheet.  You can download our Custom Metadata Import Spreadsheet straight to your computer as an Excel file below. 

We use the metadata import spreadsheet for batch import logging information into our system. This spreadsheet should be completed after your footage has been uploaded to our servers and auto-assigned Clip Codes/IDs (i.e. BC180424_0001, BC180424_0002, BC180424_0003, etc).  You can download a cross reference sheet that lists the clip codes and their corresponding original filenames for the submission(s) you would like to log from your Clip Statistics page.  For instructions on how to do this, please review the "Copying & Downloading Information" section of the Clip Statistics and Sales help article.

The way it works is that after you upload your footage and fill out the custom Metadata Import Spreadsheet, send the spreadsheet back to us, and we will import it into the system for you.  There is no fee for importing your metadata spreadsheet.  You can send your spreadsheet to "contributors@naturefootage.com".  Be sure to include the Cliplog submission name (i.e. JAN170315) in the filename of your metadata spreadsheet document.

If you are sending us a spreadsheet that contains clip original filenames but does not contain clip codes, in order for us to be able to match our submission clip codes to the correct metadata, the original filenames in your spreadsheet must match the original filenames of the clips that you uploaded to Cliplog.

Here are some important notes about how to use and fill out our custom Metadata Import Spreadsheet: 


SPREADSHEET LAYOUT

When you open the file, you will see that it contains two sheets.  Sheet 1, titled 'Metadata Import Sheet' and Sheet 2, titled 'Keyword Reference Sheet'.

Sheet 1 'Metadata Import Sheet' is for you to fill out with your metadata.  Some of the columns on the spreadsheet are required to be filled out in order for you footage to go online (more on this below), and some of the column cells contain drop down menus with options for you to choose from (also more on this below).  If you open up a Clip Edit page in Cliplog, you'll notice that the titles of the columns in our Custom Metadata spreadsheet match the titles of the logging fields on said Clip Edit page:




Sheet 2 'Keyword Reference Sheet' contains all of our data for reference only.  This sheet contains all menu options for the dropdown menus visible on the Sheet 1 'Metadata Import Sheet', and also contains lists of suggested keywords for the required & optional keyword columns (more on this below as well).  You will notice that the dropdown menu options are also identical to the dropdown menu options available on a Clip Edit page in Cliplog:
        

Similarly, the lists of suggested keywords for the keyword columns match the list of suggested keywords available in each keyword field of the Clip Edit page in Cliplog:
          
Do not alter the dropdown menu options on Sheet 2 'Keyword Reference Sheet'.  It is important that they match the menu options in Cliplog, as some of these fields are tied to search filters on the website for clients to access. 

Here are some additional important notes about the spreadsheet layout:

  • In order for the metadata to import, the columns must have headers!  Do not delete or alter the headers that have already been created for each column.  If the spelling is changed, or if the headers are in all caps (i.e. "CODE" instead of "Code"), then the metadata on the spreadsheet will not import into Cliplog.
  • There can be no rows above the headers.  The header must be the first row on the sheet or the information will not import.
  • There can be no empty rows in the middle of your metadata on the spreadsheet, as any information listed below an empty row will not import.

Lastly, just like in Cliplog, the Notes column is for your own reference only.  Anything you add to this column will only be visible to you and NatureFootage staff in Cliplog, and will not be visible to clients. 


REQUIRED COLUMNS

You do not have to fill out every column in the import sheet, but the columns highlighted in red are required to be filled out in order for your footage to go online. These required fields are listed here for reference:

Code (Clip ID in Cliplog, i.e., NFO160726_0001)
Description
Category
License Type
Price Level
Location

Even though these are the bare minimum columns that must be logged, we strongly recommend including additional keywords to the other keyword columns (i.e. Shot Type, Subject Category, Country, Primary Subject, etc.).

In Cliplog, "Submission Codec", "Submission Frame Size", and "Submission Frame Rate" are also required fields, but they are not included on the spreadsheet because they are auto-populated from clip file metadata upon upload into Cliplog.

The best way to add all clip codes for the submission you need to log to the "Code" column of the Metadata Import Sheet is by downloading a list of the submission's clip codes (and original filenames if that will help you with logging) from your Clip Statistics page.  For instructions on how to do this, please review the "Copying & Downloading Information" section of the Clip Statistics and Sales help article.

DROPDOWN MENU COLUMNS

Several columns in Sheet 1 'Metadata Import Sheet' are dropdown menus where the data is sourced from Sheet 2 'Keyword Reference Sheet'.  You are limited to the dropdown options already available in the menus and cannot add custom information to these columns.

KEYWORD COLUMNS

The optional keyword columns are highlighted in tan on the spreadsheet.

These columns (including Location) accept any of your own custom keywords, or they can be populated with pre-existing keywords from the corresponding columns found on Sheet 2.  Unlike the columns listed above with drop down menus that only allow you to select one menu item, you can add as many keywords as you want to the cells in the Keyword columns.  Simply copy and paste the keywords from Sheet 2 into their respective columns in Sheet 1.  We do recommend using pre-existing keywords when applicable; that way your footage will show up when clients do Advanced Searches using the keyword filters on our search page. 

Keywords added to these keyword columns must be separated by a comma ONLY; no other type of punctuation will work (columns highlighted in red are required fields).

If you do not have time to split up your keywords among the various applicable keyword columns (something we highly recommend, as using suggested keywords from these columns will match up with our keyword search filters on the NatureFootage site), then the best thing to do is to pool all of your keywords for each clip (except Location, since that field is required) into the Other Subject column.
